Hello RSO Leaders,
We are very excited to welcome you back to campus this Autumn Quarter and build on your great work from last year. As you begin planning your RSO activities for the year, we are writing to share information about how the Center for Leadership and Involvement (CLI) and Student Centers can support you, in addition to updated policies. As you know, the University has released guidance for the campus’ transition to Phase 5 of the City of Chicago’s reopening plan. This guidance allows us to continue to support in-person and virtual RSO activities while keeping health and safety a top priority.
Updated In-Person Student Event Protocols
We are excited to announce that RSOs are permitted to hold in-person events. These gatherings must adhere to all Chicago Department of Public Health and University guidance for in-person gatherings at the time of the event. Event protocols are subject to change throughout the year as conditions warrant. Depending on the nature and size of your event, you may be required to limit attendance, include event staff to monitor COVID protocol compliance, and/or implement other mitigations for health and safety purposes. Please note that if you expect more than 100 attendees at your event, you must first seek approval from Campus and Student Life by filling out this request form.
All University facilities have been through a rigorous assessment of their ventilation systems and may have updated capacities or capabilities. Check the venue websites or with the venue managers to learn about any changes. Updated capacities for Student Centers spaces can be found on our website.
More information on the approvals process and best practices for gatherings can be found on the CLI website. We ask all RSO leaders to become familiar with these materials in order to plan successful events that prioritize health and safety. We encourage you to contact CLI advisors and Student Centers event staff for support while planning any gathering.
Room Lottery and 2021-22 Space Requests
Student Centers will begin accepting Autumn Room Lottery requests for classrooms and dance spaces on August 16, 2021. Lottery results will be available by September 24, 2021, after all curricular use of campus rooms is determined. Please note that RSOs will be responsible for understanding and implementing best practices for in-person events at all lottery bookings, as well as, acting as on-site monitors of attendee compliance. Requests for non-recurring RSO events in Student Centers spaces during the 2021-22 school year will also be accepted starting August 16, 2021. Student Centers will accept Mandel Hall requests using the annual planning form found on our website. All other requests for Ida Noyes Hall, Reynolds Club, Bartlett Hall, or the Quads can be made directly through the EMS scheduling system.
Requests for office or storage space for the 2021-22 school year will also be accepted starting August 16, 2021. RSO leaders can find the office and storage request form here.
